Overview

Create a maintenance issue, run a workflow, schedule the visit, and close the issue when the work is done.

1. Create the issue

  1. Go to OperationsIssues (or MaintenanceIssues).
  2. Click Add issue (or Report issue).
  3. Enter title (e.g. “Kitchen leak”), description, category (e.g. plumbing), and unit or property if relevant.
  4. Save. Status is New (or similar).

2. Start a maintenance workflow

  1. Open the issue.
  2. Click Start workflow or Run workflow.
  3. Select the maintenance workflow.
  4. Confirm. The workflow may assign a vendor or create a work order automatically.

3. Schedule the visit

  1. From the issue or work order, open Scheduling (or Propose times).
  2. The vendor proposes time slots (in the app or via link).
  3. The tenant sees the proposal and accepts, rejects, or suggests other times.
  4. When both agree, status is Agreed. Confirm appointment (or Create appointment) so the visit is scheduled.

4. Complete the work

  1. After the vendor finishes, update the work order status (e.g. Done).
  2. Update the issue status to Resolved or Closed.
  3. Optionally add a note. The workflow run may complete automatically.

5. Notifications

If email or SMS is enabled, tenants and vendors may get messages at each step (proposal, confirmation, completion). Check Settings or Integrations for what’s configured.

Summary

Create issue → Start workflow → Schedule (vendor proposes, tenant agrees) → Confirm appointment → Complete work → Close issue.
